Terms & Conditions – Cusco Journeys

By booking or participating in any tour, trek, or related service with Cusco Journeys, you agree to the following Terms & Conditions.

1.- Booking & Confirmation

Cusco Journeys confirms your booking once we receive the required deposit and send a written confirmation.

Please review your confirmation carefully. All personal details must match your passport exactly. For tours requiring permits or entrance tickets (such as the Inca Trail or Machu Picchu), you must present the same passport you used when booking. If you renew your passport, you must bring both the old and new passport.

Cusco Journeys operates cultural tours, treks, and multi-day programs throughout Peru. Government authorities and third-party providers regulate some services.

You must provide a valid university ID to receive a student discount. The ID must show a clear expiration date within the same year of travel.

2.- Payments

You must pay a deposit of 40% per person to confirm your booking.

You must pay the remaining balance based on your tour type:

  • 8–15 day tours and packages: pay up to 30 days before departure
  • Treks and short tours: pay between 10 and 2 days before departure

You can pay using:

  • Cash (USD or PEN)
  • PayPal (5% service fee applies)
  • Credit/Debit Card (5% service fee applies)
  • Bank transfer or Western Union (5% service fee applies)

You are responsible for all transaction or transfer fees.

3.- Cancellations

You must submit all cancellations in writing.

We do not refund deposits because we use them to secure permits, entrance tickets (including Machu Picchu), train services, and other reservations that government authorities and third-party providers do not refund.

We apply the following cancellation penalties:

  • 60+ days before departure: we retain 50% of the deposit
  • 45–15 days before departure: we retain 75% of the total tour cost
  • 14 days or less before departure: we retain 100% of the total tour cost

We do not issue refunds for missed tours, late arrivals, unused services, or early departure.

If you cancel or leave the tour after it starts, you must pay 100% of the total tour cost.

We can provide a document to support travel insurance claims in case of illness or valid reasons.

Some services follow stricter policies due to third-party providers.

4.- Changes & No-Show

You must request any change (dates, names, or services) in writing. We process changes based on availability and may charge additional costs.

For tours that require permits, reservations, or tickets (such as the Inca Trail or Machu Picchu), you cannot make changes after we issue reservations and tickets.

If you do not arrive on time, we consider it a no-show, and we do not issue refunds.

5.- Inca Trail & Machu Picchu Permit Policy

The Peruvian government issues all Inca Trail permits and Machu Picchu entrance tickets under the traveler’s name.

  • Non-transferable: permits and tickets cannot be transferred to another person under any circumstances
  • Non-refundable: once purchased, no refunds apply
  • No date changes: dates cannot be modified after purchase
  • Limited availability: permits and tickets are subject to availability and may sell out in advance
  • Government regulation: these conditions apply to all agencies without exception

You must present the same passport used at booking. If you renew your passport, you must bring both documents.

If you book with a student discount, you must present your original valid student ID. If you fail to do so, authorities may deny entry without refund.

6.- Health & Responsibility

You must ensure that you are physically fit for the tour.

You must inform Cusco Journeys about any medical condition, allergy, or special requirement at the time of booking.

We may deny participation if your condition affects your safety or the group.

You are responsible for:

  • Your travel documents (passport, visa, etc.)
  • Arriving on time
  • Your personal belongings

Cusco Journeys does not take responsibility for delays, weather conditions, natural disasters, strikes, government restrictions, illness, injury, or loss of personal belongings.

We strongly recommend purchasing travel insurance.

7.- General Conditions

Cusco Journeys may modify the itinerary when necessary due to safety, operational, weather, or unforeseen conditions.

Third-party providers operate some services (such as trains, transportation, or entrance services). Cusco Journeys does not control these providers and is not responsible for their changes, delays, or cancellations.

Cusco Journeys is not responsible for interruptions caused by weather, natural disasters, strikes, or government actions.
